CONDITIONS OF HIRE
1. HOURS OF OPERATION:
1.1. THE PREMISES WILL BE TOTALLY VACATED FOR LOCKING, NO LATER THAN 12.00 MIDNIGHT.
1.2. THERE IS A MINIMUM HIRE LIMIT OF 2 HOURS PER BOOKING.
2. BOOKING CONFIRMATION & CANCELLATION
2.1. ANY BOOKING IS CONSIDERED PROVISIONAL UNTIL SUCH TIME AS THE DEPOSIT IS RECEIVED. MINIMUM DEPOSIT REQUIRED:
2.1.1. £60.00 FOR EVENTS ENDING BEFORE 5PM
2.1.2. £90-£200 FOR ALL OTHER EVENTS
2.2. WE RESERVE THE RIGHT TO OFFER THE BOOKED DATE(S) TO ANOTHER PARTY IF A DEPOSIT IS NOT RECEIVED WITHIN 7 DAYS OF INVOICE.
2.3. REGULAR BOOKINGS MUST BE PAID FOR WITHIN 10 DAYS OF THE INVOICE DATE, ANY DEBTS OUTSTANDING BEYOND 20 DAYS, WILL GIVE THE MANAGEMENT BOARD AUTOMATIC RIGHT OF CANCELLATION AND COURT PROCEEDING MAY ENSUE.
2.4. LETTINGS MAY BE CANCELLED AFTER ACCEPTANCE, IN WRITING TO THE ADMINISTRATOR AT LEAST 45 DAYS BEFORE THE EVENT IS TO TAKE PLACE. IF THERE IS NO REPLACEMENT BOOKING TO FILL THE CANCELLED HIRE, HALL RENTAL REFUNDS WILL BE ISSUED AS FOLLOWS:
2.4.1 100% IF NOTICE IS GIVEN AT LEAST 45 DAYS BEFORE THE EVENT
2.4.2 75% IF NOTICE IS GIVEN AT LEAST 30 DAYS BEFORE THE EVENT
2.4.3 50% IF NOTICE IS GIVEN AT LEAST 20 DAYS BEFORE THE EVENT
2.4.4 25% IF NOTICE IS GIVEN AT LEAST 10 DAYS BEFORE THE EVENT
2.4.5 0% IF NOTICE IS GIVEN LESS THAN 10 DAYS BEFORE THE EVENT
IN 2.4.1-2.4.4, 100% OF DAMAGE DEPOSIT WILL BE REFUNDED IN FULL IF NOTICE IS GIVEN 24 HOURS BEFORE THE EVENT
2.5. IT IS UNDERSTOOD AND A CONDITION OF THIS HIRING, THAT THE MANAGEMENT BOARD RESERVES THE RIGHT TO GIVE 28 DAYS NOTICE THAT THE HALL/ANNEX WILL NOT BE AVAILABLE FOR HIRE ON ANY PARTICULAR DAY OR DAYS IN THE EVENT OF IT BEING REQUIRED FOR A PARISH ACTIVITY OR FOR ANY OTHER REASON.
2.6. IF THE MANAGEMENT BOARD FINDS THAT THE HIRING IS, OR IS LIKELY TO BE, OF AN OBJECTIONABLE OR UNDESIRABLE NATURE, OR NOT IN ACCORDANCE WITH THE PURPOSE FOR WHICH THE HALL WAS BOOKED, OR THAT THE HIRER IS OTHERWISE IN BREACH OF THESE CONDITIONS. THIS AGREEMENT MAY BE CANCELLED IMMEDIATELY BY THE MANAGEMENT BOARD OR ITS REPRESENTATIVE WITHOUT PAYMENT OF ANY COMPENSATION TO THE HIRER. THE DEPOSIT PAID WILL ALSO BE FORFEIT.
3. EXCLUSIONS
3.1. NO PERSONS UNDER THE AGE OF 21 YEARS WILL BE ALLOWED HIRE OF THE HALL. IDENTIFICATION IS REQUIRED. THE MANAGEMENT BOARD AT ITS DISCRETION MAY PERMIT A HIRE IF PARENTAL GUIDANCE AND RESPONSIBILITY IS TAKEN FOR THE HIRE, AND IS GIVEN IN WRITING.
3.2. NO HIRE FOR 18TH AND 21ST BIRTHDAY PARTIES WILL BE ACCEPTED WITHOUT AN ADDITIONAL CHARGE OF
3.2.1. APPROX £250.00 FOR THE PROVISION OF SECURITY STAFF, and
3.2.2. £200 REFUNDABLE DEPOSIT, and
3.2.3. A PARENT GUARANTEE.
4. SMOKING & ALCOHOL
4.1. TO COMPLY WITH LATEST LEGISLATION, NO SMOKING IS ALLOWED INSIDE THE PREMISES. ALSO, IT IS THE RESPONSIBIILITY OF THE HIRER TO ENSURE THE HEALTH AND SAFETY OF ITS MEMBERS WHILST ON THE PREMESIS.
4.2. NO ALCOHOL IS ALLOWED ON PREMISES UNLESS PRE-APPROVED BY CENTRE MANAGER.
4.3 ALL ALCOHOLIC DRINKS BROGHT ON TO THE PREMESIS WILL BE SUBJECT TO AN ADDITIONAL HIRE CHARGE OF 20%.
NO ALCOHOL IS TO BE SOLD ON THE PREMESIS UNLESS AGREED BY THE MANAGEMENT BOARD AND A LICENCE OBTAINED. COPY OF SAID LICENCE SHOULD BE GIVEN TO THE CENTRE MANAGER.
5. USAGE OF PREMISE(S), FURNITURE OR EQUIPMENT
5.1. NO MORE THAN THE LICENSED NUMBER OF PERSONS MAY USE THE SAID HALL OR SIDE ROOM AT ANY ONE TIME I.E. A MAXIMUM OF 120 PEOPLE IN ST JOSEPH’S HALL AND A MAXIMUM OF 30 PEOPLE IN THE ANNEX. (WHEN HIRED TOGETHER, A MAXIMUM OF 150 PEOPLE).
5.2. THE CENTRE IS THE PROPERTY OF ST JOSEPH’S PARISH. THE HIRER UNDERTAKES TO ONLY USE THE HALL FOR THE PURPOSE INDICATED BEFOREHAND TO THE ADMINISTRATOR AND MAY BE REQUESTED TO PROVIDE A LIST OF NAMES AND ADDRESSES OF GUESTS AND AT ALL TIMES TO ACT IN A DECENT AND ORDERLY MANNER AND NOT IN ANY ILLEGAL OR IMMORAL WAY. SEE ALSO CLAUSE 2.6.
5.3. THE RIGHT OF ENTRY TO THE HALL IS RESERVED TO THE MANAGEMENT BOARD AND ITS AUTHORISED REPRESENTATIVES AT ALL TIMES.
5.4. THE HIRER SHALL LEAVE THE PREMISES IN A CLEAN AND TIDY STATE – CLEANING UP AND CLEARING AWAY AFTER USE. ANY FURNITURE USED SHOULD BE WIPED CLEAN IN READIESS OF THE NEXT USER AND REPLACED AS INSTRUCTED. THE HIRER SHALL BE LIABLE FOR ALL LOSS, INJURY OR DAMAGE TO THE PREMISES, FURNITURE, FITTINGS, OCCURRING DURING THE PERIOD OF HIRE. THE HIRER SHALL FORFEIT ALL DEPOSIT IN RESPECT OF ANY ADDITIONAL EXPENSES FOR CLEANING OR REPAIRS TO THE PREMISES AS A RESULT OF THE MISUSE OF THE HALL IF THIS CONDITION IS BROKEN.
5.4.1 ALL CONFETTI USED HAS TO BE CLEARED BOTH WITHIN AND OUTSIDE THE PREMISES.
5.4.2 FOR ENVIRONMENTAL REASONS, WE DO NOT ALLOW RICE/PLASTIC/ NON-BIODEGRADEABLE CONFETTI BOTH WITHIN AND OUTSIDE THE PREMISES.
5.4.3 BUFFET/ FOOD SERVICE IS TO BE CONFINED TO THE RENTED SPACE. NO FOOD OR DRINKS CAN BE SERVED OR CONSUMED IN THE ENTRANCE WAY OR HALLWAY.
5.5. THE REAR ACCESS DOORS CAN BE UNLOCKED FOR THE UNLOADING/LOADING OF CATERING AND/OR EQUIPMENT BY ARRANGEMENT WITH THE CENTRE MANAGER.
5.6. THE SECURITY DOOR MUST REMAIN LOCKED AT ALL TIMES WHILST IN THE BUILDING. ONLY LET IN MEMBERS OF YOUR OWN GROUP
5.7. CHILDREN MUST BE PROPERLY SUPERVISED AT ALL TIMES AND NOT ALLOWED TO RUN OR ROAM AROUND THE BUILDINGS OR CAR PARK.
5.8. FURNITURE & EQUIPMENT
5.8.1. ALL FURNITURE, EQUIPMENT, ETC., BROUGHT TO THE PREMISES BY THE HIRER, MUST BE REMOVED ON THE DAY OF HIRE EXCEPT WITH THE PERMISSION OF THE MANGER.
5.8.2. NO ADDITIONAL LIGHT FITTINGS, OR ELECTRICAL APPLIANCES, BEYOND THE FITTINGS AND APPLIANCES PROVIDED, SHALL BE USED WITHOUT THE CONSENT OF THE MANAGEMENT BOARD, NOR SHALL ANY OF THE FITTINGS, FIXTURES AND APPLIANCES PROVIDED BE INTERFERED WITH.
5.8.3. THE USE OF MUSIC AMPLIFICATION EQUIPMENT IS PERMITTED. HOWEVER, HIRERS ARE EXPECTED NOT TO CREATE EXCESSIVE NOISE AND TO ENSURE THAT THE VOLUME OF NOISE DOES NOT INCONVENIENCE OTHER USERS IN ADJOINING ROOMS OR CREATE A PUBLIC NUISANCE.
5.8.4. ALL PERMITTED USE OF THE HALL AND SIDE ROOM IS SUBJECT TO THE GENERAL CONDITION THAT NO HIRER OR OCCUPIER OF ADJACENT PREMISES IS INCONVENIENCED IN ANY WAY.
5.9. KITCHEN
5.9.1. ANY KITCHEN BREAKAGE MUST BE RECORDED IN THE BOOK LOCATED IN ST JOSEPH’S KITCHEN NEXT TO THE FIRE EXTINQUISHER AND WILL BE CHARGED FOR.
5.9.2. TEA LEAVES MUST NOT BE POURED DOWN THE SINK, BASIN OR TOILETS.
5.9.3. TEA CLOTHS, WASHING-UP EQUIPMENT AND BIN BAGS SHALL BE PROVIDED BY THE HIRER OR THE DEPOSIT WILL BE USED FOR RESTOCKING COSTS AND A SERVICE .
5.10. DISPLAYS
5.10.1. EXCEPT WITH THE CONSENT OF THE MANAGEMENT BOARD, NO NAIL, OR FASTENING SHALL BE DRIVEN OR PUT INTO THE WALL, FLOOR, FURNITURE OR FITTINGS OF THE HALLS, INSIDE OR OUTSIDE OF THE BUILDING.
5.10.2. PLACARDS, POSTERS OR NOTICES MAY NOT BE DISPLAYED EXCEPT ON THE DAY OF THE HIRE, AND MUST NOT UNDER ANY CIRCUMSTANCES BE DISPLAYED ON THE WINDOWS OF THE MAIN ENTRANCE OR HALLS OR ROOMS.
5.11. LOST PROPERTY
5.11.1. NEITHER THE OWNER NOR THE MANAGEMENT BOARD WILL BE RESPONSIBLE FOR ANY PROPERTY LEFT ON THE PREMISES BY THE HIRER.
6. EMERGENCIES & INCIDENTS
6.1. SHOULD THE FIRE ALARM SOUND, THE PERSON RENTING THE HALL/THE ANNEX IS RESPONSBILE FOR EVERYONE AT THEIR CLASS/MEETING/FUNCTION LEAVING THE BUILDING IN AN ORDERLY MANNER.
6.2. REPORT ALL ACCIDENT TO THE CARETAKER/CENTRE, AND DETAILS WRITTEN IN THE ACCIDENT REPORT BOOK LOCATED IN ST JOSEPH’S KITCHEN NEXT TO THE FIRE EXTINQUISHER.
7. RIGHT TO MAKE CHANGES TO THE AGREEMENT
7.1. REGULAR BOOKINGS
7.1.1. THE MANAGEMENT BOARD MAY GIVE 28 DAYS NOTICE IN WRITING TO TERMINATE A REGULAR BOOKING.
7.1.2. THE MANAGEMENT BOARD MAY GIVE 28 DAYS NOTICE IN WRITING OF INCREASES IN CHARGES. ADVANCE BOOKINGS, WHETHER PAID OR NOT, ARE SUBJECT TO THIS CONDITION.
7.2. EVENT BOOKINGS
7.2.1. THE MANAGEMENT BOARD RESERVE THE RIGHT TO REFUSE, CANCEL OR VARY THE TERMS OF LETTING WITHOUT GIVING A REASON.
8. INSURANCE & LIABILITY
8.1. IT IS THE DUTY OF THE HIRER TO PROVIDE THEIR OWN INSURANCE COVER.
8.2. IT IS THE DUTY OF THE HIRER TO ENSURE ALL EXTERNAL PROVIDERS ARE ABLE TO SUPPLY INSURANCE AND PUBLIC INDEMNITY DOCUMENTS AT LEAST 5 WORKING DAYS PRIOR TO THE EVENT AND/OR UPON DEMAND BY CENTRE STAFF
8.3. IT IS THE DUTY OF ANY HIRERS WHO ARE HOLDING A BUSINESS ACTIVITY TO COMPLY WITH THE HEALTH AND SAFETY LEGISLATION AND THE CENTRE CAN EXERCISE THEIR RIGHT TO EXAMINE THE HIRER’S RISK ASSESSMENT
9. PLEASE REPORT ANY COVID CASES TO THE MANAGER WHILST ON THE PREMESIS, IN ACCORDANCE WITH THE RULES.
10. A SIGNED COPY OF THIS CONDITIONS OF HIRE MUST BE RETURNED TO ADMINISTRATOR PRIOR TO THE HIRE TAKING PLACE. FAILURE TO DO SO MAY RESULT IN IMMEDIATE CANCELLATION.
